SearchPilot AI is a private dashboard used by a single administrator to manage search visibility, SEO, local SEO and online reputation for their own businesses. There are no public sign-ups: only the administrator account can sign in, and all data in the workspace belongs to that administrator.
This policy describes what data SearchPilot AI stores, how it is used, and what it does not do.
Business information the administrator enters: business names, websites, service descriptions, physical locations, service areas, target markets, and facts verified for accuracy.
Website audit results: technical findings about the administrator’s own websites and pages of competitor websites that are publicly available.
Search observations: what the administrator or automated checks observed in search results and AI-generated answers for searches relevant to the administrator’s businesses.
Review data: when a review platform (such as Google, Yelp or Facebook) is connected, SearchPilot AI reads publicly available reviews of the administrator’s businesses through that platform’s official API. Reviews are used to track reputation, analyze themes, and draft replies. Replies are never posted without the administrator’s explicit approval.
Website visitor analytics: when the tracking code is installed on a business website, it records page visits, engagement (such as scrolling), button clicks, and conversion events like form submissions or phone taps. It does not collect names, email addresses, phone numbers, or anything a visitor types into forms. Lead contact details are hashed before they are stored, so original contact information is not kept in the dashboard.
Business records: customers, sales, refunds, marketing spend, experiments, tasks and activity history that the administrator enters or approves.
Communication drafts: social media posts, review replies and outreach messages drafted inside SearchPilot AI. Nothing is sent or published automatically — every message requires the administrator’s review and approval.
Data is used only inside the dashboard to generate briefings, scores, recommendations, reports and drafts for the administrator. Scores shown in SearchPilot AI are SearchPilot’s own internal estimates, not metrics from Google, Bing or any AI platform.
SearchPilot AI does not publish, post, or change anything on the administrator’s websites or connected platforms without the administrator’s explicit approval of that specific action.
Data is never sold and is not shared for advertising.
Data is processed only by the service providers needed to run the product: hosting and database providers, AI model providers used to draft suggestions and summaries, and the APIs of connected platforms (such as Google, Yelp or Facebook) used to read public review data at the administrator’s request.
SearchPilot AI sends an optional daily briefing email to the administrator’s sign-in address, summarizing items that need attention. This can be turned off at any time inside the dashboard. No marketing emails are sent, and no other recipients are added.
Access to the dashboard is limited to the single administrator account. Connections to external platforms are made with API credentials stored securely on the server side, not in the browser. Sensitive actions on connected services (such as posting a review reply) require explicit approval and platform permissions.
Data is kept while the administrator’s account is active. The administrator can delete businesses, records, drafts and connections from within the dashboard, and can request deletion of the workspace and its data by contacting the administrator’s registered email address.
Questions about this policy can be sent to the email address registered to the SearchPilot AI administrator account.
